General Phone Information

Carroll offers both digital and analog phone service. Procedures to perform a specific function may vary depending on whether you have an IP (VoIP), digital or analog phone. Digital phones will not work on an analog line and analog phones will not work on a digital line, neither will work on an IP (VoIP) line.

Student, faculty and staff phone numbers are available by using People Finder, which can be found on the Student and Employee tabs at http://my.carrollu.edu

If your phone does not have a dial tone, please test as follows:

  1. Unplug your phone cord from the wall jack and your phone
  2. Reconnect the phone cord
  3. Try plugging in a different phone (borrow one from the room or office next door).
  4. If you are still unable to get a dial tone, contact the ITS Help Desk.

Local Phone Service

You may call any campus phone number from on campus, dialing the 4-digit extension, such as "7229" for the ITS Help Desk. To call a local area number dial "9" first then the number. If the phone number is in the 414 area code, you will need to dial "9 1 414" and then the number

Long Distance Phone Services

Students:

To call long distance you will need to use a personal calling card, a cell phone, or make an operator-assisted collect call.

Faculty and Staff:

May place both long distance & International phone calls from their office telephones.

Residence Hall Phone Service

Recognizing the common use of cellular phones, Carroll University no longer provides automatic phone service (dial tone) to every residence hall room.

Voice Mail

Voice mail is available to all full-time faculty, staff and students who request Carroll University phone service. Each individual is provided one private voice mailbox for messages. If your phone is not answered in 4 or 5 rings, or your phone is busy, calls will automatically be directed to your voice mailbox. Greetings can be customized and changed at will. If you have not received a voice mailbox number, it is usually the same as your extension, if you have difficulty contact the ITS Help Desk.

First-Time Use. When you log in to your voice mail for the first time, your initial password will always be 369369. ITS recommends that you initially access your voice mail box from on campus. After entering 369369, the system will prompt you to select your own password. The password must be 6 digits long. Ascending or descending digits (123456 or 654321) or duplication of digits (777777) is not accepted. Also, your password cannot begin with "0."  You can access your voice mail from any phone using the following procedure(s):

From your assigned phone:

  1. Dial 7653 OR press the “Voice Mail” button on your phone.
  2. The system will answer and you will hear music and the system will announce your name and ask for your password and # sign.
  3. First time users will enter 369369#
  4. Continue to follow all the instructions of the automated response system.

From off campus or cell phone:

  1. Dial 524-7653, (262) 524-7653 for long distance or 011-262-524-7653 (cell) +1262-524-7653 from outside the U.S.
  2. The system will answer “Hello, to access your mailbox press “#”, to leave a message for someone on the system, enter their number.” You may press “#” at any time.
  3. The system will respond with a series of tones and “Please enter your number.”
  4. Enter the last 4 digits of your Carroll extension, or your personal voice mailbox number (a specific voice mailbox number is always used if you are sharing an extension).
  5. After a moment the system will speak, “ “your name”, enter password and # sign."
  6. If you have no messages the system will say “No new messages”. 

Some General Voice Mail Message Notes

  1. Delete your voice mail messages after listening to them unless there is a reason for keeping them.
  2. Voice messages will automatically be deleted after 10 days.
  3. You will receive a warning when your voice mail is 50% full.
  4. If you plan to be off campus for more than a few days, you may want to change your greeting to let callers know that your voice mail messages may be lost after 10 days, and you may want to leave an alternate number.

What do I do if I forget my voice mail password?

Call ITS at 7229 and the default “369369” password will be reset for you. When you enter 369369, you will be able to establish a new password as you did when you first logged in.

How do I change my voice mail password?

  1. Access your voice mail
  2. Press 5
  3. Press 4
  4. The system will prompt you with instructions

How do I change my name on my mailbox?

  1. Access your voice mail
  2. Press 5
  3. Press 5 a second time, record your name
  4. Press 1
  5. Press # to approve

How do I change my greeting?

  1. Access your voice mail
  2. Press 3
  3. The system will prompt you with instructions

How can I record multiple greetings?

  1. Access your voice mail
  2. Press 3
  3. Press 4
  4. The system will prompt you with instructions

How do I send myself a reminder (up to a year in advance)?

  1. Access your voice mail
  2. Press 1
  3. Speak the message, end by pressing #
  4. Enter the extensions that you want the message sent to—end each extension with #
  5. End the list with a second #
  6. Press 0 for list of options
  7. Press 3 to schedule the date of delivery
  8. The system will prompt you with directions for the time and date

How do I transfer a voice mail message?

  1. After listening to the message, press 1
  2. Press 2
  3. Record comment (if desired), press #
  4. Press extension number that you want the call transferred to and press #
  5. After name is stated, press #
  6. To send, press #
  7. Press *3 at this time if you want to delete the call from your old messages

How do I jump ahead in the voice mail system?

You do not have to wait for voice mail to finish the prompts before you press the response keys.  As soon as you hear voice mail begin, enter your extension number or mailbox number, press #, enter your password, press #.  As soon as you year the start of the next prompt, you can press 2 then 0 without waiting to hear all of the prompts.

How do I use call waiting?

Call waiting gives a tone when another call is coming in while you are on the line.  You will hear one tone if the call is from on campus and two tones if the call is from off campus. 

Analog Phone:

  1. Depress switch hook or Flash button (listen for the dial tone)
  2. Dial 106 (your first call will be placed on hold while you talk to the second call)
  3. To alternate between the 2 calls, depress the switch hook and dial 106

Digital Phone

  1. Press hold
  2. Press the button next to the flashing light
  3. To alternate between the 2 calls, place one call on hold and press the button next to the flashing light

If you do not answer a call because you are on another call, it will be answered by voice mail.

How do I transfer a call to another number?

Analog Phone

  1. Depress switch hook or Flash button (listen for the dial tone)
  2. Dial the number you want the call transferred to
  3. Wait for ringing
  4. Hang up

Digital Phone

  1. Press transfer (listen for the dial tone)
  2. Dial the number you want the call transferred to
  3. Press transfer
  4. Hang up

How do I forward calls (Send all calls)?

To forward all calls to voice mail:

  1. Pick up handset
  2. Press *6

To forward all calls to another number:

  1. Pick up handset
  2. Press *2
  3. Enter the forwarding number

To remove calls forwarded to voice mail

  1. Pick up handset
  2. Press #6

To remove calls forwarded to another number

  1. Pick up handset
  2. Press #2

How do I place a conference call?

Analog Phone

  1. Place a call
  2. Depress switch hook or Flash button (listen for the dial tone)
  3. Dial the number of the party to be added
  4. Wait for 2nd party to answer
  5. Depress switch hook or Flash button and all 3 parties will be connected

Digital Phone

  1. Place a call
  2. Press conference (listen for the dial tone>
  3. Dial the number of the party to be added
  4. Wait for the 2nd party to answer
  5. Press conference and all 3 parties will be connected

Can I have an answering machine?

Carroll University discourages the use of answering machines for the following reasons:

  • Individual voice mail boxes are provided for everyone
  • If the answering machine does not pick up fast enough, the call will go to vice mail
  • If you are talking on the phone, and someone tries to call you, the call will go to voice mail
  • An answering machine will interfere with messages for anyone else using the same phone
